AI-Powered Customer Issue Management

Intelligent Email Triage, Verification & Case Automation
A high-volume customer support operation needed a more efficient way to process incoming issue emails. The existing process required teams to manually review messages, identify relevant account information, verify details, request missing information, follow up with customers, and create cases in the enterprise CRM.
The objective was to design an AI-powered workflow capable of managing the process end-to-end while maintaining human oversight for uncertain cases.
The Challenge
Incoming emails contained a mixture of structured and unstructured information. Important details such as merchant identifiers, terminal identifiers, error codes and issue descriptions could be incomplete or embedded within free-text messages.
Incomplete cases also required repeated customer follow-ups before they could be transferred to the CRM.
The solution therefore needed to combine AI understanding with deterministic business rules, rather than allowing AI to independently control business actions.
The Solution
An intelligent automation architecture was designed using workflow automation, an AI agent, structured case management and enterprise system integrations.
Every incoming email passes through an automated intake process where duplicate, invalid or irrelevant messages can be identified. An AI agent then analyses the message, classifies the issue and extracts required information such as identifiers, error codes and fault descriptions.
The AI agent returns structured information to the workflow but does not independently send emails or perform downstream actions. Business rules determine what happens next, providing an important separation between AI reasoning and operational execution.
Intelligent Verification & Follow-Up
Extracted information is validated against the relevant enterprise system. Cases with complete and verified information can proceed automatically, while incomplete cases enter an automated information-request process.
Customers receive requests for missing information, followed by controlled reminders at 24 and 48 hours, with a final check at 72 hours. Customer replies are analysed by the same AI agent, the case record is updated, and the workflow checks again whether all required information is available.
Once ready, the case is automatically transferred to the enterprise CRM. Cases that remain incomplete can still be transferred with the appropriate status for downstream handling.
Human-in-the-Loop AI
The architecture deliberately keeps people in control.
Low-confidence, suspicious or uncertain cases are routed for human review. Outbound customer communications use controlled templates, while a central kill switch can pause automated email processing when required.
This provides the efficiency of AI automation without allowing generative AI to make uncontrolled operational decisions.
Enterprise Monitoring
The workflow maintains structured case states throughout the lifecycle, including classifications such as New, Classified, Verified, Awaiting Information, No Response, Pushed and Error.
Automated error alerts, heartbeat monitoring and reconciliation processes provide additional operational visibility and resilience.
Architecture
Customer Email → Automated Intake → Rules Engine → AI Agent → Data Extraction → Enterprise Verification → Information Gate → Automated Follow-Up → CRM
The architecture combines AI reasoning with deterministic automation, API integrations and structured case management to create a controlled agentic business workflow.
Business Value
The solution demonstrates how AI agents can be embedded directly into enterprise operations to reduce manual email processing, accelerate issue classification, automate information collection, improve consistency and connect customer communications with enterprise systems.
Rather than deploying AI as a standalone chatbot, the architecture uses AI as an intelligence layer within a governed end-to-end business process.
